Sending appointment reminders

After you have configured your SMTP server and your message templates you're ready to start sending text message and e-mail reminders!
 
First, when creating an appointment, you need to enter the e-mail address and/or phone number + SMS gateway (cell phone provider) of your client in the "Service" section of the Appointment dialog. When you enter this information the "Send e-mail reminder" and "Send text message reminder" options will become available. Check those boxes.
 
 
Make sure you have reminders enabled.
 
To enabled reminders, click the application menu in the top left hand corner of the program, and ensure that the "Enable Reminders" item is highlighted.
 
The first image shows reminders are disabled, the second image shows reminders are enabled.
 
 
You can also view if reminders are enabled in the bottom left hand corner of the main window, again disabled (left) and enabled (right) status...
 
 
And in the "Options" page of the ribbon toolbar, once again both disabled (left) and enabled (right)
 
 
Clicking this button will either turn reminders on or off.
 
NOTE: TATTOO MANAGEMENT STUDIO APPOINTMENT BOOK EDITION MUST BE RUNNING FOR REMINDERS TO SEND! IF YOU WOULD PREFER REMINDERS TO BE SENT WITH OR WITHOUT THE SOFTWARE HAVING TO BE RUNNING, PLEASE LOOK AT TATTOO MANAGEMENT STUDIO EXPRESS EDITION.
 
When reminders are enabled, Tattoo Management Studio Appointment Book Edition will send a reminder at the time set in the "Reminder" drop down.
 
 
Here, it is set to 1 day (24 hours.) This means, if an appointment is scheduled for July 2nd at 12:00 PM, the reminder will be set on July 1st at 12:00 PM. If it is set to 2 days, the reminder will be sent on June 30 at 12:00 PM.
 
NOTE: THE REMINDER INSIDE THE APPOINTMENT DIALOG IS NOT FOR CLIENT REMINDERS. THAT IS YOUR OWN PERSONAL REMINDER THAT WILL POPUP A WINDOW REMINDING YOU OF THE APPOINTMENT. TO CONFIGURE CLIENT REMINDERS YOU MUST USE THE OPTIONS PAGE AS DEMONSTRATED ABOVE.
 
NOTE: TATTOO MANAGEMENT STUDIO APPOINTMENT BOOK EDITION WILL DISABLE REMINDERS IF THERE HAVE BEEN MULTIPLE FAILURES IN A GIVEN TIME. THIS IS TO PROTECT YOU FROM BEING BANNED BY YOUR SMTP SERVER BY TOO MANY ATTEMPTS. IF YOU RECEIVE THIS ERROR, PLEASE CHECK YOUR SMTP SETTINGS, OR LEAVE REMINDERS DISABLED UNTIL THE PROBLEM IS RESOLVED BY YOUR MAIL PROVIDER.
